Maximum Flexibility

Our new cancellation and rescheduling policy

With Maximum Flexibility, we give travellers who book new reservations through 31 March 2021, the option to change their travel dates or cancel their rail holiday up to 5 days prior to departure without incurring any change or cancellation fees. Any existing reservations can be rescheduled up to 5 days prior to departure without incurring any change or cancellation fees.

If the future date of travel is unknown at the time of the change or cancellation, customers will receive a refund in the form of a Refund Credit Note. The Refund Credit Note will be banked, financially protected, and can be used for travel with any of our family of brands within 24 months of the date of issue.

*Additional restrictions may apply for any rail vacations that include Cruises, Belmond, Rocky Mountaineer, Golden Eagle Luxury Trains, Journey Beyond Rail Expeditions, The Blue Train, El Transcantábrico, Tsars Gold, or other luxury trains. Please be aware that certain arrangements, such as low-cost flight bookings, may not be amended after they have been confirmed and any alteration could incur a cancellation charge of up to 100% of that portion of the travel arrangements.

What flexibility do we have when travelling with Railbookers?  

The safety and security of our guests is our top priority. Given the current UK and foreign government national emergencies and circumstances beyond our control, we have revised our terms and conditions. Customers booking travel during this period will receive maximum flexibility to travel to any destination, on any date, or length of trip with the option to reschedule or cancel their trip up to 5 days prior to departure without any change or cancellation fees.

How far in advance can I book my Railbookers holiday?

With Railbookers, most of our holidays can be booked up to 24 months in advance.  To make a booking, please call Railbookers at 020 3780 2222.

How do I make a booking?

Call Railbookers to speak with one of our knowledgeable Rail Experts to book your perfect holiday by rail.

What information do you require at the time of booking?

All passenger first and last names, and all dates of birth, are required at the time of booking.

If your holiday includes a flight your passport details will be required. Certain train providers will also require this information. Your Travel Consultant will inform you if this is the case for your holiday.

We recommend that you contact the Embassy of the destination(s) your are travelling to for any visa requirements prior to making a booking with us. How do I complete my booking?

When you are ready to make a booking, please call us and speak with your Rail Expert. Alternatively, if you have enquired through a Travel Agent, please get in touch with them. Remember your quote and all prices are subject to change until we receive your payment or deposit, as we are not yet holding any space. Full payment is normally due at 90 days prior to travel.

We accept all major credit and debit cards. We also accept payments made by bank transfer and cheque. Please contact your Rail Expert for details if you would like to pay this way.

When is my final payment due?

You are required to send us the appropriate deposit per person or full payment if booking within 90 days of departure at the time of booking. In addition to the deposit applicable to the holiday, a further additional deposit is required equal to at least the minimum of the additional cost for any non-refundable booking variations including flight, rail and hotel upgrades. Please note, deposits and all additional deposits are not refundable except where expressly stated in these booking conditions. Full payment is due 90 days prior to travel. If you paid your deposit by credit or debit card, full payment will automatically be applied to your booking using the card you used for your deposit. If you prefer to pay your balance differently, please notify your travel consultant. If a cheque payment is declined by your bank for any reason, an administration charge of £30 will be made. If you return your payment counterfoil before the date that payment is due, this authorises us to take payment early. If we do not receive all payments in full and on time, we are entitled to assume that you wish to cancel your booking. In this case, we will be entitled to keep all deposits paid or due at that date. If we do not cancel straight away because you have promised to make payment, you must pay the cancellation charges shown in clause 7 depending on the date we reasonably treat your booking as cancelled.

Can I tailor make my trip?

Absolutely. We can add hotel nights to give you extra time to explore your destination, or add in additional stopovers to help you discover new ones! We can also add transfers for ultimate ease and convenience and have an extensive range of sightseeing options so you can make the most of your trip. We will also take care of your flights. Just speak with our Rail Experts and we’ll start creating the perfect holiday for you.

Can I add sightseeing, excursions or additional hotel nights to one of your rail holidays?

Yes, you can always add on additional nights, stopovers en route, sightseeing tours or excursions to any of our packages to help you really make the most of your trip. We have an extensive list of the most popular sightseeing options in each of the destinations we feature, just speak with your Rail Expert for more details.

Am I able to travel on my choice of dates?

There are no set departure dates with our holidays, with the exception of private train journeys such as the Venice Simplon-Orient-Express. Most trains will run every day, which means our holidays do too.

Can I start or finish my journey at my local station?

Of course! Most of our rail holidays start from St. Pancras station in London, where the Eurostar departs, and we can book train tickets from any UK rail station to coincide with the timings of your onward journey. At the end of the trip we’ll get you all the way back home again, too.

Can I take a rail holiday that you offer in reverse?

Yes! We can offer a reverse option on any of our packages. If you would like to visit cities in a different order or start/finish in a different location, please call us and speak with a Rail Expert.

Can I upgrade to first class rail on some/all of my train journeys?

You certainly can. We know that many of our customers like to upgrade some or all of their train journeys to first class. This could entitle you to a larger seat, more legroom and even a meal and drinks on certain routes. To find out more please speak with one of our Rail Experts who will tell you the advantages of first class on your specific route.

Can I choose my train times?

Our packages don’t have set departure times. When there are multiple trains a day, your Rail Experts will be able to talk you through the different departures. If there’s a particularly convenient time or a departure that will ensure you catch the best scenery, we’ll be sure to recommend it.

Can I fly home from the last city on my rail holiday?

Absolutely. We are able to arrange flights from airports across the world back to the UK. You are also able to fly out to one destination and continue your holiday by rail from there – whatever works for you.

When is the best time to travel?

Whenever works for you! Whether you’re looking for the best weather, the best scenery or the best value, just talk with one of our Rail Experts about what you’re looking to get from your holiday and we can arrange the perfect trip.

Do you offer itineraries for solo travellers?

Absolutely! Our pricing on our website is based on double occupancy, for individual traveller pricing, please give us a call and one of our rail experts can assist you!

Can you recommend the most scenic route to get to my destination?

We’re always advocates of taking the scenic route! With so much to see from the train windows on all our holidays, you’re in for a treat. If there’s a different route you could take for some extra special scenery, we’ll be excited to let you know!

Where are your hotels located?

Our hotels are centrally located within each city we offer. Most are within a short distance of local sights and/or your railway stations.

What is it like on a sleeper train?

The sleeper trains in our packages are comfortable, fun and adventurous ways of travelling long distances. Most sleeper trains offer private cabins for one, two or sometimes three passengers. Some routes also offer the opportunity to upgrade to deluxe compartments with private en-suite facilities.

In Europe, our packages are based on double sleeper compartments; consisting of two bunks with linen provided. Once you get on board, a sleeper attendant will normally greet you at the carriage door, check your reservation and direct you to your compartment.

In a private compartment there’ll be plenty of room to store luggage on a rack and in the big recess above the door. There will be somewhere to purchase food and drink on board, with many sleeper trains offering full restaurant cars.

When will I receive a confirmation?

Once we have received payment for your holiday, you will receive a booking confirmation by email within 72 hours.

When will I receive my travel documents?

Travel documents will be sent to you by post to the address you have provided us with. We send out documents and tickets at least 7-10 days before departure, unless agreed otherwise. If you have selected Special Delivery, you will receive an email when your documents are despatched. They will then arrive with you the next day before 1pm.
You will receive train tickets, hotel vouchers and confirmations for any sightseeing tours you have booked with us. You will also receive a handy guide from us containing essential travel information. In many cases we also send out city map and guides.

What do I do in case of an emergency?

We are open from 9am-8pm BST Monday to Friday and 10am-3.30pm BST on Saturdays. If we are not open and your call is a genuine emergency, we also operate an emergency number which you will receive with your travel documents.

Do I need travel insurance?

It is a condition of booking with us that you have adequate travel insurance to cover your trip.

How long before the train departs should I be at the station?

With the exception of Eurostar, which has a 45-minute check-in time, there is no official check-in required for train journeys in Europe. Of course, we always recommend arriving at the station in plenty of time.

What do I do with my luggage?

If you’re used to strict luggage policies and weight limits, rail travel will be a breath of fresh air. Each passenger can take two main items of luggage plus an item of hand luggage. There are no weight restrictions – just remember you’ll need to carry everything!

How do I stay 'Travel Aware'?

Wherever you’re going, it’s important to prepare before you go. Stay healthy and safe abroad by staying aware.

Travel advice can change so ensure that you check for updates regularly. Both the Foreign and Commonwealth Office and the NHS have up-to-date advice on staying safe and healthy abroad.
