1. Program Overview

Railbookers' Familiarization (FAM) Trips are invitation-only educational experiences designed to provide participating travel advisors with firsthand knowledge of Railbookers' products, destinations, and travel experiences. Participation is subject to these Terms and Conditions and any additional information provided by Railbookers.

By registering for a Railbookers FAM Trip, participants acknowledge that they have read, understood, and agree to comply with these Terms and Conditions.

2. Eligibility

Participation is limited to invited travel advisors in good standing with their agency and Railbookers. Railbookers reserves the right to approve or decline participation at its sole discretion.

3. Participation Fee

Upon selection for a Travel Agent FAM Trip, a nonrefundable participation fee of $499 USD per person is required to confirm participation.

The participation fee:

  • Is due prior to the registration deadline.
  • Is nonrefundable under all circumstances, including cancellation by the participant, illness, scheduling conflicts, changes in travel plans, or inability to attend.
  • Is nontransferable to another individual or future FAM Trip.

If Railbookers cancels the FAM Trip before departure, participants will receive a full refund of the participation fee.

The participation fee covers the following expenses:

  • All rail travel and seat reservations throughout, per the itinerary
  • Hotel accommodations based on single occupancy, including taxes and additional fees
  • Guided sightseeing activities each day traveling with Railbookers staff
  • Daily breakfast and additional meals per the itinerary
  • Transfers in destination included, including airport  

The following expenses are not covered and are the responsiblity of the participant:

  • Airfare to and from the trip’s starting and ending location  
  • Transfers to/from the airport and your home location
  • Passport, visa fees or entry documentation as needed
  • Travel insurance
  • Incidentals or other costs incurred outside of the itinerary

Questions about the coverage of other expenses should be directed to the FAM Coordinator and will be addressed on a case-by-case basis.

4. Required Participation

Participants are expected to actively engage in all scheduled activities throughout the FAM Trip.

This includes:

  • Attending hosted experiences.
  • Participating in educational sessions.
  • Representing themselves professionally.
  • Networking with fellow travel advisors and Railbookers representatives.

Failure to actively participate may affect eligibility for future Railbookers FAM opportunities.

In addition, confirmed participants will share their flight information with the FAM Coordinator, as well as dietary restrictions, mobility concerns, or any other appropriate information prior to travel.  

5. Mandatory Pre-Travel Training

Attendance at all required pre-travel training sessions is mandatory.

Participants must complete all assigned training materials and attend any scheduled webinars, virtual meetings, or orientation sessions prior to departure.

Failure to complete required training may result in cancellation of participation without a refund.

6. Content Creation Requirements

Participants acknowledge that a Railbookers FAM Trip is a collaborative marketing opportunity.

During the trip, participants are expected to actively document their experience through high-quality content, including:

  • Photography
  • Short-form videos
  • Long-form videos where appropriate
  • Instagram stories
  • Facebook stories
  • Reels
  • TikTok videos (where applicable)
  • Social media posts
  • Written trip highlights
  • Destination recommendations
  • Client-focused travel inspiration

Participants are encouraged to showcase the Railbookers experience authentically while maintaining professional standards.

Railbookers may provide recommended hashtags, tagging requirements, messaging, or campaign guidelines that participants agree to follow where reasonably possible.

7. Social Media Expectations

Participants are expected to maintain an active online presence throughout the trip.

At a minimum, participants should:

  • Share regular updates during travel.
  • Tag Railbookers in applicable social posts.
  • Use designated campaign hashtags where provided.
  • Highlight Railbookers experiences, destinations, rail journeys, accommodations, and included experiences.
     

8. Content Ownership and License

Participants retain ownership of original content they create during the FAM Trip.

However, by participating, each participant grants Railbookers, its affiliates, partners, successors, licensees, and assigns a perpetual, worldwide, irrevocable, royalty-free, transferable, sublicensable, nonexclusive license to:

  • Use
  • Reproduce
  • Publish
  • Display
  • Edit
  • Translate
  • Distribute
  • Repurpose

any photographs, videos, audio recordings, testimonials, written content, social media posts, or other materials created during or in connection with the FAM Trip.

This license applies across all media now known or later developed, including but not limited to:

  • Websites
  • Email marketing
  • Social media
  • Advertising
  • Print materials
  • Sales collateral
  • Trade publications
  • Presentations
  • Public relations
  • Promotional campaigns

Participants acknowledge that no additional compensation shall be owed for such use.

9. Name, Image, and Likeness

Participants grant Railbookers permission to use their:

  • Name
  • Business name
  • Agency affiliation
  • Photograph
  • Video likeness
  • Voice
  • Testimonials

for promotional, educational, editorial, and marketing purposes without additional approval or compensation.

10. Post-Trip Requirements

Within 60 days of returning from the FAM Trip, participants agree to:

  • Host at least one client-facing webinar, seminar, or educational presentation promoting Railbookers.
  • Share their firsthand experiences and destination knowledge.
  • Promote Railbookers itineraries relevant to the FAM Trip.
  • Provide Railbookers with confirmation that the presentation has been completed, if requested.

Railbookers may provide presentation materials or supporting resources.

11. Professional Conduct

Participants are expected to conduct themselves professionally and respectfully throughout the program.

Railbookers reserves the right to remove any participant from the FAM Trip without refund for conduct including, but not limited to:

  • Disruptive or inappropriate behavior
  • Harassment or discrimination
  • Excessive intoxication
  • Illegal activity
  • Actions that damage the reputation of Railbookers or its partners
  • Failure to follow reasonable instructions from Railbookers representatives

12. Changes to Itinerary

Railbookers reserves the right to modify the itinerary, accommodations, transportation, activities, or hosts due to operational requirements, weather, supplier changes, or circumstances beyond its control.

Such changes do not entitle participants to a refund.

13. Travel Documents and Insurance

Participants are responsible for obtaining:

  • Valid passports
  • Entry documentation
  • Comprehensive travel insurance

Railbookers strongly recommends travel insurance covering medical expenses, cancellations, baggage, and personal belongings.

14. Additional Guests

Due to limited availability on each trip, Railbookers is not able to accommodate requests for additional guests such as spouses, significant others, family members, or others not directly invited.  

15. Assumption of Risk

Participants acknowledge that travel involves inherent risks. By participating, each participant voluntarily assumes all risks associated with travel and releases Railbookers, its affiliates, employees, officers, directors, suppliers, and partners from liability except where prohibited by applicable law.

16. Limitation of Liability

To the fullest extent permitted by applicable law, Railbookers shall not be liable for indirect, incidental, consequential, special, or punitive damages arising from participation in the FAM Trip.

Railbookers' maximum liability shall not exceed the amount of the participation fee paid by the participant.

16. Acceptance

By registering for and participating in a Railbookers Familiarization Trip, participants acknowledge that they have read, understood, and agree to be bound by these Terms and Conditions.

Railbookers reserves the right to amend these Terms and Conditions at any time prior to departure.
